Welcome to Zoombooks! These Terms of Service govern your use of the Zoombooks mobile application, web dashboard and related services. By accessing or using Zoombooks, you agree to be bound by these terms. If you do not agree with these Terms and conditions, please refrain from using our services.

2. Services Provided

Zoombooks is a tax-focused bookkeeping app and expense tracker built specifically for Canadian contractors, consultants and self-employed professionals. Our app helps you capture receipts, track income and expenses, log business mileage, monitor GST/HST and Input Tax Credits (ITCs) and generate accountant-ready reports (such as T2125 and T2 Schedule 125). Zoombooks is designed to simplify bookkeeping and help users maintain organized financial records throughout the year.

3. User Eligibility & Account Responsibilities

  • You must be at least 18 years old to use Zoombooks.
  • You are responsible for keeping your account secure and ensuring your login credentials are not shared with others.
  • You agree that all information you input (receipts, mileage logs, expenses) is accurate and legitimately related to your business activities for tax purposes.

4. Acceptable Use Policy

By using Zoombooks, you agree not to:

  • Engage in fraudulent activities, impersonate another person, or submit fabricated receipts/invoices.
  • Use the platform to falsify CRA records, evade taxes, or misrepresent Input Tax Credits (ITCs).
  • Violate any local, national, or international laws, including the Income Tax Act.

5. Payment & Subscription Terms

  • Zoombooks offers various subscription plans (including free and premium tiers). By selecting a paid plan, you agree to the recurring billing cycle until you cancel.
  • We process subscription payments via secure third-party processors.
  • We do not process your actual business income or expenses directly; all financial transactions occur through your linked banking institutions via our read-only Plaid integration.

6. Data & Privacy Protection

  • Zoombooks uses security measures designed to protect your financial and business information.
  • Your personal information is not sold to third parties.
  • Your data is used only to provide and improve Zoombooks services.

7. Service Availability & Limitations

  • We strive for 99.9% uptime but do not guarantee uninterrupted service. We are reliant on third-party banking integrations (like Plaid) and are not responsible for temporary outages on their end.
  • We reserve the right to modify, update, or discontinue features at any time to improve the platform.

8. Limitation of Liability

  • Zoombooks is a bookkeeping and expense tracking tool, not a substitute for a certified accountant or tax professional.
  • Zoombooks is not liable for any financial decisions, tax filings, or mistakes made based on the data you input.
  • We are not responsible for lost deductions, CRA audits, reassessments, or tax penalties resulting from inaccurate, missing, or improperly categorized user data. You and your tax accountant are ultimately responsible for the accuracy of your tax returns.

9. Termination & Suspension

  • We reserve the right to suspend or terminate your account if you violate these Terms of Service or engage in suspicious/fraudulent bookkeeping activities.
  • You may delete your account and request data deletion at any time from the app settings.
